How do I configure a Yes/No Workflow step?
Introduction
Yes / No steps within workflows allow technicians to provide simple yes or no responses to job tasks without typing a response. This gives the technician the ability to communicate basic information to the back office or to customers quickly and easily. This type of simple response can be useful in digital forms or checklists that a technician can fill out.
Technician View
The technician will see a question with both a yes and no option available to tap on to provide an answer. In the above screenshot, the user has tapped "No".
Yes / No steps support content uploads (photos, videos, and notes) and also support instructions (text-based, video, photo, or PDF).
Admin Configuration
Changing The Step Type to Yes / No
When adding or editing a step, admin. users can use the Step Type dropdown at the top of the form to switch the current step to a Yes / No step.
Please note that some of your settings may be lost when switching between step types.
Providing a Step Question
Instead of a step name, you will be instructed to provide a step question for the technician to answer using the yes / no buttons. Simply type the question in the field.
Providing Instructions
Instructions work the same for Yes / No steps as they do for Content Only steps. Simply type in any text-based instructions and upload PDF's, videos, or photos that would be useful to the technician.
Share The Answer With Your Customer
To make the technician's answer (yes / no response) publicly visible to your customers, you can simply enable this toggle under Yes / No Usage. When disabled, the technician’s answer will only be visible on Entire Job share pages and in the Vision platform (mobile and web) for authenticated users.
Require an Answer
To require the technician to provide an answer (yes / no response), enable this toggle under Yes / No Requirements. The technician will not be able to complete the job until they provide an answer.
Please note that it is not possible to require content (photo, video, or note) to be added to a Yes / No step.
Extract Text or Transcribe Speech
If a technician chooses to add content (photo or video) to a Yes / No step, you can enable certain post-upload processing in this section.
Extract text from dataplate images: Once enabled, the Vision platform will attempt to extract Make, Model, and Serial # from any dataplate photo added to the step.
Transcribe speech from videos: Once enabled, the Vision platform will attempt to transcribe any speech in a video added to the step into text.
Notify The Right People Depending on The Response Provided
In many situations, you may want to send email notifications to different email addresses depending on the answer provided (yes / no response).
Notification Contacts - Yes Response: Email addresses added to this section will receive an email notification when a technician responds with Yes and the job is completed.
Notification Contacts - No Response: Email addresses added to this section will receive an email notification when a technician responds with No and the job is completed.
