Integration Setup Requirements

All users must have matching emails in COINS and XOi for the integration to work properly. These emails must be lowercase in both applications. 

If the emails do not match the user will receive a deep link error when moving from COINS to XOi. 

Audio Transcriptions from Videos, Ai Work Summaries, Step Notes, and Short Text Responses can pass back to various places within MobileTech. Admins will need to add integration traits to each workflow step to establish where that information should pass.

You may combine them and add as many traits as you like. If multiple steps are given the same trait across a workflow, the data is appended and sent to the corresponding field. For example the Ai Work Summary and a workflow step note can go both go to the Asset Work Done area. 

Category: Visit

XOi can write back to two locations on the COINS Visit: XOi Work Done or Visit XOi Additional Work. See below for details on the XOi Data that can be written back to these locations and the step traits to use.

For Work Summaries, add the work summary trait to any existing required step on your workflow. This will allow the workflow’s work summary to be sent to the Visit Work Done field.

Category: Asset

When adding assets to the COINS Visit, XOi can write back the information captured from a Dataplate Capture step.

Asset-specific notes may be sent back to the Asset’s Work Done or Additional Work fields. See below for details on the XOi Data that can be written back to these locations and the step traits to use.

For Work Summaries, add the summary trait to a required step on your workflow. This will allow the workflow’s work summary to be sent to the Asset Work Done field.

Integration Walkthrough

The COINS integration begins in COINS Service Mobile app(MobileTech). 

Select on the Visit you would like to begin. 

Select the three dots in the top right hand corner and select Start to set your status as Active.

     

When you are ready to start capturing work in XOi Vision, tap the XOi Vision Icon which will take you to a newly created XOi Job.

XOi Location History: At the top of the location tab in MobileTech a link called XOi Location History will take you to the Job Activity area in XOi. It will show you all past XOi jobs that have been completed at the customer's location. 

XOi Asset History: Once an asset has been matched to the service order through XOi, a XOi Asset History link will appear. This will take you the Job Activity area in XOi, showing you all the past XOi jobs that have been completed on that asset. 

   

XOi Knowledge Base: Once an asset has been matched to the service order through XOi, a XOi Knowledge Base link will appear. This will take you to the XOi Knowledge Base, showing you all the documentation available for that asset. 

    

Work Order #, Customer, & Location

This information will be passed over to XOi after dispatch. By selecting the XOi Vision link you will be taken directly to the Job Info screen where you can review this information.

Dataplates 

Serial/Make/Model will pass back over to COINS at the time of job completion. Adding a suggest tag will automatically link the dataplate’s information to the appropriate COINS Asset. If you do not add this tag you will need to manually add it or create a new asset in COINS. 

To add this tag:

1. In the workflow tap Content.

2. Tap Select in the top right-hand corner. 

3. Clear circles will show in the top left-hand corner of each image and video. Select the content(s) you would like to delete, share, or tag. A blue circle with a checkmark will appear. 

  

Press the tag button in the bottom right-hand corner.

Choose the + button to the right of the proper suggested tag. Select Save. This will pass the serial/make/model number back to COINS, matching it to the proper asset record. 

After finishing the workflow(s) and completing the job information will be passed back to COINS. In XOi, you can get back to COINS by selecting the icon in the top left-hand corner. 

Information that passes from XOi to COINS

Make/Model/Serial #

COINS Service Mobile app(MobileTech): Under Assets all equipment records identified in the XOi Workflow will be located here. Serial/Make/Model # and the manufacturer date will all pass back. All properly matched assets will be under Serviced in blue. 

Any assets that were not properly matched will need to be corrected by selecting the Review XOi Assets. All items in red will need to be matched to an existing asset or a new asset will need to be created. 

   

     ERP+: Inside the Service Order record under Assets all asset records for this service order will be located. Serial/Make/Model # will all pass back, tagging to an existing asset record when tagged properly in XOi. 

 

Audio Transcriptions from Videos, Work Summaries, Step Notes & Short Text Responses

COINS Service Mobile app(MobileTech): Audio Transcriptions from Videos & Work Summaries can appear in the XOi Work Done or XOi Additional Work done on both the visit or the asset itself. This is dependent on how the workflow step is built by the admin.

 ERP+: Audio Transcriptions from Videos, Work Summaries, Step Notes, or Short Text Responses can appear in the XOi Work Done or XOi Additional Work done on both the visit or the asset itself. This is dependent on how the workflow step is built by the admin. 

Public and Entire Job Share Links

    COINS Service Mobile app(MobileTech): The Work Done and Additional Work pages also include “XOi Customer Share Link” buttons which will open the browser and take you to the Public XOi Share Link generated for the Visit.

       

The Public Share Link (Customer-facing) will automatically be placed on the COINS Service Order Report

     ERP+: The Public and Entire Job Share Links will be in Summary for the Service Order.
