How do I share a workflow in XOi Mobile?
Roles Admin, Job/User Editor, Job Editor, and User have permission to perform this task.
Sharing a workflow instead of a fully completed job allows you to highlight a specific scenario that occurred on the job. This can be especially useful when collaborating with customers or colleagues.
For example, if you completed a PM on multiple units and one required a Service Call, you can share the workflow for just the Service Call to keep your customers and colleagues informed. This ensures the focus stays on the relevant details while avoiding unnecessary information.
A menu will pop up giving you two options to select from:
- All Steps: Share all documentation and steps for your workflow (Including internal notes and tags)
- Just Public Content: Will only contain the job steps that are marked as customer-facing.
After making your choice on the type of share you would like to do a sharing menu will appear allowing you to select how you want to share your job. Some options include:
- Text Message
- Copy the link
- Any messaging application that shares using the native share for your device
No matter how you share a workflow, a link will be provided that allows the receiver to click and review the job. This is a live link, meaning any changes made to the workflow after sharing will automatically update. You won’t need to re-share the link—it will always reflect the most up-to-date information.
Additional Information
- If you have questions about your workflow and what will be shown in your share, you can copy the link and review it to be sure before sending it to your customer.
- These links do not expire.
- If you notice have a blank Public Share Link, check to see if your workflow steps are customer-facing.
